Overview:

We’re a fast-growing digital marketing agency on a mission to help dental and medical practices thrive. Our clients trust us to deliver real results, and we couldn’t do it without our global team of talented professionals who bring detail, professionalism, and strong communication to everything they do.

We’re now looking for a Customer Service & Admin Support superstar to join our Client Success Team. In this role, you’ll play a key part in keeping our clients happy and our projects running smoothly from supporting our consultants with insights and admin, to ensuring top-quality standards and building strong client relationships.

This is a full-time remote position with standard hours from Monday to Friday, 9 a.m. to 5 p.m. Sydney, Australia Time.

Key Responsibilities:

Client Support & Communication:

• Communicate with clients via email and calls in a professional and supportive manner.

• Gather and organise content from clients (images, videos, creative assets).

• Follow up with clients on billing, overdue accounts, or missing information.

Call Reviews:

• Conduct detailed reviews of client call logs to provide insights and feedback to our digital marketing consultants.

• Identify trends, missed opportunities, and improvements to help clinics increase bookings.

Administrative Support:

• Handle day-to-day admin tasks for the Client Success Team.

• Maintain accurate records, organise files, and ensure smooth workflow between departments.

Research Tasks:

• Conduct online research (competitors, industry trends, local opportunities, sponsorships, etc.) to support campaigns.

Website Quality Assurance:

• Review websites and landing pages against client requests and log any errors or required changes for the website development team.

• Ensure QA standards are met, including accuracy, functionality, and user experience.

What we are looking for

3+ years of proven experience in customer service, admin support, or similar client-facing roles.

• Strong written and verbal communication skills (fluent in English, both spoken and written).

• Highly detailed, organised, and thorough with excellent time management.

• Ability to multitask and prioritise effectively.

• Tech-savvy with proficiency in Microsoft Office/Google Workspace. Experience with project management tools (e.g., Monday.com, Asana, Trello) is an advantage.

• Comfortable learning and adapting to new systems and processes.
